Overview

Amazon College, a well-established educational institute in Sri Lanka, was running their entire operation through a legacy LMS that had become a liability. Student enrolment, assessments, class scheduling, and payments all ran through a system that was unreliable, inefficient, and unsupported. Their service provider had stopped responding to issues. They needed a clean start.

The Challenge

The problems ran deeper than surface-level bugs. The existing platform suffered from constant intermittent errors that disrupted classes and frustrated both staff and students. Core workflows like enrolling a student or scheduling a recurring class required multiple redundant steps that should have been simple. Critical tasks like reconciling student payments were done manually, consuming hours of staff time every week.

On top of that, the institute had no reliable way to manage online class recordings or integrate with the tools they were already using. The system was holding them back from scaling, and their provider had no interest in fixing it.

Our Approach

Rather than patching the old system, we worked closely with the institute’s staff to understand every workflow, pain point, and unmet need. We then designed a bespoke platform built around how they actually work, not the other way around.

Student & Staff Management A centralised hub for student profiles, enrolment tracking, attendance, and staff administration. Clean interfaces that reduced multi-step processes down to single actions.

Assessment & Study Materials A structured system for creating, distributing, and grading assessments, with a content library for study materials that staff can organise, version, and share with specific cohorts.

Automated Payment Reconciliation What previously required hours of manual cross-referencing now happens automatically. Student payments are matched, flagged, and reconciled without staff intervention.

Recurring Class Scheduling & Zoom Integration Staff define a class schedule once, and the system handles the rest. Recurring sessions are generated automatically and Zoom meetings are provisioned via API integration. No more manual setup for every class.

Online Recording Management Class recordings are automatically captured and organised, making them accessible to students who missed sessions or want to revisit material.

Results

The new platform went live with a seamless transition from the legacy system. Over 300 students and the institute’s staff now use it daily. System reliability went from unpredictable to 99.9% uptime. Roughly 85% of previously manual tasks like payment reconciliation, class scheduling, and recording management are now fully automated, freeing up over 40 hours of staff time per week.

The institute now has a platform that scales with them rather than holding them back.
